Grants Management Officer

Position Summary

The Grants Coordinator/GMO is responsible for overseeing all aspects of grant funding for CVC. This position reports to the manager- Finance and Administration. The role of the Grants Coordinator/GMO is to keep a track of the incoming requests for funding and handling them carefully. He/she will also be expected to work with the Finance and Administration Manager to manage the delivery of grants being implemented by CVC.  He/she will help to process the paperwork and applications, award grants, monitor grants being implemented by CVC and ensure that all money is being used according to the terms and conditions of the applicable grants as well as assist with the development of grant applications by CVC.  The Grant Coordinator/GMO needs to be meticulous in analyzing and distributing funds in the right amount to the right party in accordance with the objectives for which they are granted. He or she is expected to ensure that the grants comply with legal rules and regulations.  He or she is expected to work with the Programmes team to ensure grants are being delivered in compliance with the contracts and in accordance with the rules and regulations of the donors.

Grant Management - Duties and Responsibilities

  • Manage project activities and ensure that the grant is implemented in accordance with
  • contracts, Operations Manual and Procurement Guidelines
  • Supervise the process of planning and guiding the implementation of the Project Work Plan and providing technical support to Sub recipients (SR’s)
  • Provide technical guidance for the development or all work plans, reviewing key strategies, activities and outputs and ensure that there is integration between the various projects and the stated objectives of the relevant Funders
  • Provide technical assistance to the SRs to improve their capacity to develop and conduct technically sound interventions for target populations,
  • Monitor the progress of implementation towards the achievement of targets and outputs, with particular attention to the relevance and impact of the activities
  • Maintain grant compliance and reporting, including outcome measurement and grant budgets, taking responsibility for meeting high standards of effectiveness, timeliness and completeness
  • Develop and maintain a basic grant-making manual and communicate appropriately with staff concerning policies, procedures and updates
  • Ensure adequate reporting and effective information sharing, to communicate activities, progress reports, data and other relevant information to key stakeholders and donors
  • Scrutinize, accept and process grant applications
  • Identify potential grant sources which have proven track record and legal registration
  • Communicate the rules and regulations for grants and the responsibilities associated
  • Disseminate timely information on funding opportunities to grantees and coordinate the proposal planning process
  • Prepare monthly reports on the status of projects funded or being implemented by CVC and submit them to the management
  • Maintain grant-related reference resources including grantee files, include application, awards, grant reporting schedules, and other information as needed
  • Review reports received and provide capacity development support to grantees as necessary

  Skills and Proficiencies

  • Excellent knowledge of grant processes and practices
  • Profound knowledge of financial and budgeting aspects of project and grant management
  • Must be a skilled administrative professional to carry out varied grant mandated job responsibilities
  • Must have strong verbal and written communication skills
  • Ability to maintain a cordial relation with different departments of CVC for proper coordination as well as  with grantees or fund providers
  • Experience in relationship building with partners at the local, national, regional and international level a significant assess.
  • Must be well organized and have detail oriented approach
  • Ability and willingness to learn new systems, techniques and procedures
  • Ability to handle sensitive and confidential matters.          
  • Accessible to grantees and grantors in order to update them with status of  grants
  • Ability to work under pressure to meet deadlines.
  • Ability to take initiative, work independently, and use innovative techniques and ingenuity to prepare grant applications.
  • Ability to coordinate grant projects with CVC staff and community partners.


  • Accounting or Project Management certification or degree in related field and three or more years of experience in grant development, or any equivalent combination of education and experience that provides the necessary level of skill, knowledge, and ability.
  • 3-5 years management experience with public health programs, preferable in the HIV/AIDS field
  • Grant writing knowledge and experience
  • Knowledge of grant research and application processes.
  • Knowledge of and Experience In the use of Quickbooks or other Accounting software
  • Excellent organizational skills
  • Experience in developing grants for health system-related projects and activities
  • Experience in national or regional government or quasi government agencies
