ADMINISTRATIVE AND COMMUNICATIONS SUPPORT OFFICER

SCOPE OF WORK

CVC is seeking a full time Administrative and Communications Support Officer.  The Officer will be responsible for managing the Executive Director’s Office with secretarial and administrative work relating to the preparation, implementation and reporting of activities and events of the organization. The Officer will also be responsible for information exchange and awareness-raising through media outreach.

DUTIES AND RESPONSIBILITIES

*  Provide secretarial support, including responding to all correspondence, drafting letters, memos, taking clear messages and scheduling appointments
*  Organize filing systems for all in coming and out going correspondence, as well as maintain administrative records and update the general filing system
*  Prepare Minutes of Meetings to be disseminated to all members of the CVC Board and staff as needed
* Support the preparation of letters, reports for various project activities
*  Organise the translation of documents when needed
*  Assist with communications and advocacy activities being undertaken by CVC
*  Recommend strategies for knowledge sharing between CVC members and projects
*  Assist with community mobilization activities
*  Assess opportunities for campaign development to ensure effective participation of vulnerabilised    populations
*  Perform other  duties as required and requested

 
QUALIFICATIONS
Mandatory requirements:
The following are the minimum qualifications required which will be considered for evaluation of the successful applicants:
*  Fluency in Spanish
*  Previous secretarial/administrative experience
*  Proficiency in using computer softward:  Windows; MS Word; Excel and Power Point
Desirable criteria:
*  Experience in arranging and coordinating events, meetings and workshops is desirable
*  Flexible and adaptable to change
*  Fast learner, ability to work in a small team and a multicultural environment
 
Period and Location of Assignment
This will be a one year contract with the possibility of two extensions of one each year, subject to the availability of funds and the satisfactory performance of the contractor. The location of this assignment is Kingston, Jamaican.
 
Supervision and Reporting
The contractor shall prepare monthly reports.  The position is funded by the Global Fund, but will report directly to the Executive Director
